Christmas Market Vendor Rules & Regulations

All Vendors—including food vendors—must remain fully open and operating for the entire duration of the event. Packing up early creates a negative experience for shoppers and can cut off those final sales opportunities. Any Vendor who packs up or leaves before closing may be prohibited from future Heartland Vendor Co. events.
By participating, Vendor grants Heartland Vendor Co. permission to use photos of their booth and products for event marketing purposes. Photos may be edited, cropped, or combined with other graphics or text without additional notice. Vendor also agrees that their name and submitted information may be used as needed to advertise the event.
Each Vendor will receive two vendor IDs, which must be worn at all times during show hours and shown at the entrance to receive free admission. Gate staff cannot recognize every vendor, so IDs are required to prevent misuse. Additional helpers may assist during setup hours and after closing each day only.
No ID = No free entry.
Vendors may not sublet, split, or donate any portion of their booth space without prior written approval from the promoter. Approved space-sharing requires a $50 fee, and the additional Vendor must submit their own application and be accepted.
Heartland Vendor Co. is not responsible for event changes or cancellations due to Acts of God. In such circumstances, the lease agreement ends and the Vendor waives any claim for damages. We are not liable for theft, loss, fire, water damage, accidents, or any other property damage—including during load-in or load-out.
To help maintain the facility, the use of confetti, glitter, rice, birdseed, flower petals, sparklers, smoke effects, or haze machines is strictly prohibited anywhere inside the venue. Any of these items found on-site will result in a $250 cleaning fee charged to the responsible party.
For fire safety, open flames are not permitted. Candles may only be used if they are fully enclosed in approved hurricane glass or votive holders.
To prevent damage to the building, no tape, nails, tacks, screws, or adhesives may be used on walls, floors, ceilings, doors, or woodwork. This includes posters, flyers, signage, or décor of any kind. Additionally, signs or banners may not be suspended from the ceiling, regardless of material.

All payments are non-refundable, and booth spaces are not held without full payment. Spaces are assigned based on the order completed applications are received and the overall flow of the market layout.
Vendors are responsible for collecting and submitting Missouri sales tax.
